Member Guide: Getting Started with Your TextSpot Account

You’ve been invited to join your team’s TextSpot account. Welcome aboard!

Here’s what you can do as a member, how conversations work, and what to expect.

Joining Your Team

  1. Check your email for an invitation from TextSpot.

  2. Click Accept Invite and follow the setup instructions.

  3. Create your password and log in.

Once you’re in, you’ll see the same shared inbox and phone number as the rest of your team.

What You Can Do as a Member

  • View and reply to conversations from contacts assigned to you.

  • Add, import, and edit your own contacts.

  • Create your own autoresponders and templates.

What You Can’t Do

  • Change billing or subscription details.

  • Access conversations or contacts assigned to other members.

  • Add or remove users.

  • Add a contact that is already assigned or added to your organization

  • Create automations, forms, or keywords.

If you ever need to take over a conversation outside your assigned list, ask an admin to reassign the contact to you.

How Conversations Work

  • All team members share the same phone number.

  • When a customer texts in, the message goes to the assigned team member’s inbox.

  • If no one is assigned yet, the message goes to the admin’s inbox.

  • Only one member can message a contact at a time — this keeps things organized and prevents overlap.

  • Admins can see all member conversations.

How Autoresponders Work

Autoresponders are managed based on who the contact is assigned to.

  • If the contact isn't assigned, it uses the owner's autoresponders.

  • If the contact is assigned, it uses the assigned user's autoresponders.

  • Never both.

Quick Tips

  • Use clear naming for contacts so your teammates know who’s who.

  • Check your inbox regularly for new conversations.

  • If you’re out of office, reassign your contacts so nothing slips through the cracks.
